Job Summary

Under direction of the Director of Materiels Management participates/oversees the current Materials Management database, assures data validity, system training, charge capture, and auditing for system integrity. Responsible for package tracking and scanner software support. Implements new systems when acquired. Provides supervision for the Charge Analyst and the Print Shop.

Minimum Qualifications

Minimum Education: High School Diploma or Equivalent
Minimum Years of Experience: 5 Years relevant Materiels Management information technology experience.
Substitutable Education & Experience: 5 Years of experience can be substituted for an Associate's Degree in Business or Computer Technology
Required Certifications/Licensure: None.
Required Training: Experience in Supply Chain and Accounts Payable systems;
Knowledge of personal computer applications to include MS Excel and MS Word;
Capable within first 12 months of running NPR and Access reports from Meditech.

Essential Functions

  • Is responsible for the maintenance and integrity of the current information systems utilized by Materials Management.
  • Runs management reports daily/weekly for detection of potential variances within the purchasing/receiving and Print Shop modules.
  • Maintains the inventory dictionaries.
  • Performs required system testing for all software/hardware upgrades and enhancements.
  • Validates upgrades prior to implementation.
  • Develops a plan for system to validate system integrity.
  • Performs needs analysis to determine how information systems may improve workflow.
  • Analyzes reported problems/issues to determine root cause; escalates problems as appropriate and manages the issue to resolution.
  • Consistently documents daily activity and resolution of issues.
  • Responds in a timely manner on all issues; demonstrates the ability to appropriately prioritize tasks to maximize results.
  • Trains all staff within the Materials Management Division on information systems-new employee training, upgrade/enhancement training, and new systems training; provides competency validation to managers.

Duties & Responsibilities

  • Leads in the development of training materials including manuals and competencies.
  • In the event of a vendor conversion, manages and directs all information system issues:
    • Validates the integrity of systems prior to go-live of a conversion.
    • Consistently reviews related management reports to look for variances after go-live.
    • Reports variances to the Director immediately.
    • Implements action plan to correct variances as timely and expeditiously as possible.
  • Ensures the efficient operations of the Print Shop.
  • Understands the duties of the Charge Analyst and provides guidance as needed.
  • Responsible for accurate reporting of $29.5 million Revenue and Expenses $22 million annually.
  • Follows the hospital’s Service Expectations guidelines and policies.
  • Performs other duties as assigned by the Director.
  • Interface with Accounting on Monthly Operations Reports, troubleshoot and correct problems.
  • Supports Clinical Contract Managers initializing LOC using Spend Manager.
  • Manages use of HLS Freight, Meditrack, and Mediscan software.
  • Utilizes Electronic Transaction sets through EDI to streamline acquisition updates.
  • Performs all other duties as assigned.
