Job Summary

The Clinical Coordinator serves as an administrative liaison and resource person throughout the practice facilitating, coordinating, and overseeing the process of patient care. This role is responsible for clinical staff, staff assignments, vacation calendar, department orientation of new staff, and patient education. The Clinical Coordinator provides support and guidance for clinical policies and procedures as well as ensures compliance with appropriate regulatory agency requirements.

Minimum Qualifications

Minimum Education: Associate of Science in Nursing (ASN) or Associate Degree in Nursing (ADN)
Minimum Years of Experience: 3 Years of clinical experience (At least 2 Years of experience in areas of specialty or related medical setting within the past 5 years) 
Substitutable Education & Experience (Optional): An ASN/ADN degree with 3 years of clinical experience can be substituted for the following combinations: Bachelors in Nursing with 2 years of experience in areas of specialty within the past 5 years.
Required Certifications/Licensure: Currently licensed as a Registered Nurse by the State Board of Nursing for South Carolina; Current CPR Certification.
Required Training: Demonstrates basic first aid knowledge.

Essential Functions

  • Facilitates, coordinates, and oversees the process of patient care.
  • Maintains a positive attitude. Has contact by phone, correspondence, or personal meetings with persons in other departments or outside the practice; tact is required in these contacts and the employee assumes the responsibility for harmonious relationships.
  • Demonstrates the appropriate communication of information to patients/caregivers.
  • Responsiveness to all patients and office staff requests and needs.
  • Responsible for medication management duties as directed by physician including but not limited to injections, administration of sample medications, and patient medication education. 
  • Responsible for the preparation and maintenance of the exam rooms, removing outdated medications/supplies, and ensuring stock is at par levels.
  • Follows all equipment cleaning and sterilization procedures and ensures clinical staff compliance.
  • Rooms patients, conducts patient assessments, assists with procedures, implements physician orders, provides patient education, and documents clinical information appropriately.
  • Operation of and responsibility for equipment (including, but not limited to, routine maintenance, ordering of supplies, log sheets and cleaning).  Provides input into the selection of equipment.
  • Follows all department policies and procedures and ensures staff compliance.
  • Obtains precertification/authorizations as needed.
  • Complies with all coding documentation requirements to ensure proper billing.
  • Provides Practice Manager and Physicians with statistical reports as needed.
  • Will assess human resource needs and plan and evaluate employee activities to ensure safe, effective and fiscally sound operations.
  • Manages human resources to assure safe and effective operations.
  • Reallocates nursing staff to meet patient care needs.

Duties & Responsibilities

  • Demonstrates ability to work with personnel in a manner which fosters positive employee development and performance.
  • Provides input and assists in creating evaluations of nursing staff performance for probationary period and annual performance appraisals.
  • Recommends and initiates personnel action for performance issues utilizing appropriate channels and procedures.
  • Follows up on performance issues within assigned area of responsibility.
  • Identifies educational needs of nursing staff and provides input into educational programs.  Sets example for clinical staff by ensuring all personal certification and mandatory education requirements are met.
  • Will communicate effectively throughout the practice and with other departments.
  • Keeps Manager informed of activities through oral and written communications.
  • Collaborates with staff, physicians, midlevel providers, and others to enhance effective problem solving.
  • Clarifies and interprets administrative, personnel and nursing services policies and procedures.
  • Represents the nursing staff at various meetings and serves on committees as assigned.
  • Sets an example for clinical staff by fully utilizing the electronic health record and other electronic communication and systems for conveying information.
  • Answers Telephones (Answer, Transfer), takes messages, performs phone triage, and updates providers appropriately.
  • Identifies ineffective routines, interventions, and systems, which do not contribute to desired or identifiable outcomes and takes action to change these practices.
  • Contributes and participates in the evaluation and improvement of processes. Contributes to department quality initiatives.
  • Understands and agrees to seek compliance with appropriate health and safety regulatory agencies.
  • Performs all other duties as assigned by authorized personnel or as required in an  emergency, i.e., fire or disaster.
